Purchase invoices record what you owe suppliers. On submit they debit expense accounts, debit input tax (if applicable), and credit accounts payable.
Open Accounting → Purchase Invoices.
What you can do
- Create supplier invoices manually
- Create draft purchase invoices from trip services (Finance tab on a service)
- Submit to post GL and supplier payment ledger
- Track outstanding payables per invoice
- Cancel submitted or partially paid invoices
Invoice statuses
Same lifecycle as sales invoices: draft → submitted → partially paid / paid, or cancelled.
Creating a purchase invoice
From Accounting (manual)
- 1
Go to Accounting → Purchase Invoices and create a new invoice.
- 2
Select the supplier, posting date, currency, and invoice number.
- 3
Add line items with expense accounts and amounts.
- 4
Enter tax if applicable. Grand total = net + tax.
- 5
Save as draft, then Submit when ready.
From trip costing
- 1
In the trip option editor, open a supplier service with costing complete.
- 2
Use the Finance actions to Create Draft purchase invoice for that service.
- 3
Review and Submit GL when the supplier bill is confirmed.
See Costing to purchase invoice.
After submit
Submitting debits expense per line, debits input tax receivable if tax applies, and credits accounts payable. A payment ledger entry is created for the supplier.
Paying suppliers
Use Payment Entries with type Pay to settle purchase invoices. Allocate the payment to one or more open invoices.
Check Payment Ledger for supplier outstanding balances.
Cancelling
Submitted or partially paid purchase invoices can be cancelled, which reverses all postings.
Supplier required
Auto-creation from trip services requires a supplier linked on the service. Set up suppliers in Suppliers first.
